JOB  DESCRIPTION SUMMARY 

The basic function of the Operations Manager is:

  • Responsible for overseeing the day-to-day operations of the company. This includes managingproject schedules, budgets, and resources, as well as ensuring that projects are completed on time, within budget, and to the satisfaction of clients.

REPORTING RELATIONSHIPS

  • The Operations Manager reports directly to and is fully accountable to the General Manager / CEO.

REQUIREMENTS and SKILLS

  • Requires a High School Diploma with Business Classes or equivalent experience.
  • Three or more years of proven success in an operations management role.
  • Strong skills in process development and oversight.
  • Requires experience in operations systems, software, and Excel.
  • Must have the skills and knowledge to keep all lines of communication open within the office and from external sources. Ability to work with other employees. Knowledge of report preparation required.
  • Proficiency in conflict management and business negotiation processes.
  • Knowledge of business productivity software and an aptitude for learning new applications.
  • Excellent ability to delegate responsibilities while maintaining organizational control of shop operations and customer service.
  • Computer skills to enter data into a computerized system and to produce spreadsheets and documents for analysis.

RESPONSIBILITIES

  • Project Management: The Operations Manager is responsible for managing multiple projects simultaneously, ensuring that they are delivered on time, within budget, and to the highest quality standards.
  • Resource Management: The Operations Manager must manage the allocation of resources, including personnel, equipment, and materials, to ensure that projects are adequately staffed and resourced.
  • Budget Management: The Operations Manager is responsible for managing project budgets, ensuring that costs are controlled and that projects are delivered within budget.
  • Quality Control: The Operations Manager must ensure that all projects are completed to the highest quality standards, and that all relevant regulations and standards are met.
  • Client Management: The Operations Manager must build and maintain strong relationships with clients, ensuring that their needs are met and that they are satisfied with the company's services.
  • Team Management: The Operations Manager is responsible for managing a team of project managers and other staff members, providing guidance, mentoring, and support as needed.
  • Safety Management: The Operations Manager must ensure that all projects are completed safely, and that all relevant health and safety regulations are adhered to.

ESSENTIAL FUNCTIONS

The Operations Manager is responsible for:

  • Ensuring that the policies and procedures for this department are carried out in a manner consistent with the goals of the General Manager / CEO.
  • Ensuring that the company’s operations Policies are adhered to.
  • Lead, motivate and support a large team within a time-sensitive and demanding environment, including career development plans for direct reports and problem resolution.
  • Manage data collection for the updating of metrics to achieve productivity targets, reduce cost, eliminate errors and deliver excellent customer service.
  • Partner with cross-functional teams to improve proprietary tools and systems.
  • Oversee materials and inventory.
  • Conduct budget reviews and report cost plans to upper management.
  • Ensuring the accuracy of input of information determined to be necessary for job costing.
  • Ensuring the annual budget is clear and completed with the management team.
  • Ensures any departmental training, evaluations, and disciplinary action is undertaking.

MEASURES OF PERFORMANCE

  • Supports the Company, the General Manager, and the Finance Manager with accurate and timely information and reports.
  • All data are provided to the General Manager and to the Finance Manager on time and properly executed and all records are up to date and accurate.
  • Customer complaints about logistics or construction errors are kept to a minimum and are quickly resolved.
  • Operational reports are accurate and produced by the Monday following the end of the week.
  • Monthly reports are accurate and produced by the 5th business day following the end of each month.
